Regular Board Meeting June 7, 2016

Present: Randy Fay, Leslie Randolph, Susie and Chuck Black (868), Wilma Harbin, Ruth Young, Ray and Kristy Musser, Tim Laudick, Sandie Cooper, Ron LeCrone, John McCreary, Chuck & Susie.

The meeting was called to order by Sandie Cooper, president, at 7:10pm

Minutes from the March 3 board meeting and April 10 annual meeting were approved unanimously.

Treasurer's Report: Outgoing HOA Treasurer Tanya Hawkins reported that five units are late paying, but she said she got the bills out late and will call them. We have only very rare problems with dues being behind. Balance sheet and income statement from Tanya are attached.
Tim Laudick moved and Ray Musser seconded approval of the Treasurer's report, and it was unanimously accepted.

Unfinished business

Security firm in the neighborhood every night. We had proposed (at the annual meeting) talking to the owner who had employed them, but decided instead to take no action.
Neighborhood Workday: Nancy Lewis, the landscaping coordinator, organized a work day on June 5. Nancy Lewis, Ray and Kristy Musser, John and Marsha McCreary, and Randy Fay participaged. Lots of edging was improved. In addition, Tim Laudick and Ray Musser had a private work day on Saturday June 4 and did a huge tree removal and other tasks. THANKS!

Landscaping: Ray Musser reported on a landscaping walkthrough with Will of WD Yards on June 7 - Ray and Nancy Lewis participated. The weeds are 90% handled. They talked about not having to mow close to trees. Ray is satisfied that they understand what needs to be done. Sprinkler system adjustment should be done soon. Broken sprinkler heads will be fixed up. They'll remove dead tree. Yuccas are gone. They'll need to be replaced, but after it's clear that they won't regrow. Bush trimming: WD said they usually start less aggressively. But next year will need to be much more aggressive. Learning curve, need to build communications with WD Yards. (Followup: Nancy Lewis reports June 26 that WD Yards has delivered on all that was asked at that time.)

Parking in front of the mailbox should be discouraged, but no action really to be taken at this time.

New Business

HOA Registration - Sandie Cooper reported having trouble getting the HOA registered with the state. (Update: Tim Laudick helped with this and the license was successfully obtained and expires June 2017.

Retention pond piping: Discussion was held concerning the exit pipe from the retention pond and various solutions so that it drains more completely. No solution was found, but it may need to require budget for 2017.

New Officers

Randy Fay nominated Tim Laudick as HOA President. John McCreary seconded the motion, and the board approved it unanimously.

Ray Musser agreed to continue as Vice President. Sandie Cooper nominated, Tim Laudick seconded, vote was unanimous.

Randy Fay was nominated and confirmed to continue as secretary (Moved by John McCreary, seconded by Tim Laudick, approved unanimously)

Sandie Cooper was nominated as Treasurer to replace outgoing Tanya Hawkins. Ray Musser nominated, John McCreary seconded, and the vote was unanimous. However, we have an HOA member who is a CPA and Sandie Cooper and John McCreary agreed to approach him to see if he would be interested in the position.

The next board meeting will be Thursday, Sept 8, 2016, 7pm at 848 Montclair Dr.

The meeting was adjourned at 8:50pm.

  • Get Chuck & Susie emails.
  • Confirm treasurer choice.
  • Update info list on message board once all the positions are completely settled
